About the Role

Reporting to the Payroll Supervisor, the HR Administrator is primarily responsible for supporting the Payroll and HR team with data entry and document management. In this position, you will manage the receipt and entry of employee personnel information such as new hire packages, existing employee changes, and termination information on a regular basis using Alcanna’s payroll system, ADP Workforce Now. Outside of these core responsibilities, you will also support the team with other data-driven initiatives, from creating ADP reports, to problem identification and needs assessment within the payroll system and assisting with ad hoc projects as needed.

Role and responsibilities include, but are not limited to:

  • Timely and accurate entry of employee personnel data within the payroll system while adhering to payroll deadlines.
  • Ensuring benefit enrollments, and employee-related changes, are administered in the payroll system.
  • Proper storage and safekeeping of employee paperwork and files must understand privacy and security restrictions associated with these documents.
  • Keeping all personnel data confidential.
  • Strategizing with HR/Payroll on process improvements or needs assessments for the payroll system, or options for necessary data outputs.
  • Creating and pulling reports for HR/Payroll as requested.
  • Assisting with internal and external audits of employee personnel files or other data, using both ADP fields and physical employee personnel file.
  • Drafting letters/memos/emails, helping with formatting and policy amendments, updating annual payroll calendar and cutoff documents, on an as-needed basis.
  • Assisting HR/Payroll team with basic Payroll or HR Administrative tasks on a day-to-day basis.
  • Supporting with filing and archiving needs as requested.
  • Supporting the payroll and HR team with managing employee inquiries that come through the general email inboxes as needed.
  • Reviewing incoming employee paperwork to ensure it is completed accurately and in its entirety before inputting the information, includes communicating with operations managers and employees to notify them of errors or omissions.

 

Experience and Qualifications

  • High school diploma required at a minimum, post-secondary education in HR is an asset.
  • Candidates working towards their CPHR or PCP Designation preferred.
  • Minimum, 1-3 years’ experience with HR and payroll processes and data entry is desired.
  • Experience working with payroll systems, specifically ADP Workforce Now, is preferred.
  • Experience supporting a mid-sized company operating in multiple provinces is an asset.
  • Must be able to pass a basic criminal record check.
  • Must have reliable transportation to commute to/from work.
